Inventory & Maintenance June 2025 New Design
Overview
This module update introduces permission-based access controls and workflow dependencies. The module will not function without proper configuration. Complete user permission profiles and workflow setup before granting user access. Skipping configuration will cause operational failures.
This major update transforms the Inventory & Maintenance module with a redesigned interface that moves key configuration features from the Admin Back-Office to the main displays, introduces enhanced filtering capabilities, and streamlines inventory check workflows.
Updated sections include:
Setup and Configuration: Apparatus editing and user permission updates
List Displays: Enhanced actions, quick-access features, and vehicle/item updates
Filters: Redesigned search with saved and quick filter options
Inventory, Maintenance, and Item Checks: Streamlined workflows with new search, display, and item management features
Transitioning to the New Interface
We are rolling out the new Inventory & Maintenance interface to all users. You can toggle between the Standard (i.e., old) and Beta (i.e., new) designs using the toggle button in your user profile settings. This option ensures a smooth transition while you become familiar with the updated interface. The toggling feature will be available until mid-July 2025.

Setup and Configuration
Apparatus Details
NEW FEATURE Edit apparatus and warehouse details directly from the Inventory and Maintenance list and check pages (requires permissions). Previously available only in the Admin Back-Office.

Inventory & Maintenance Profiles
NEW FEATURE You can now use Inventory and Maintenance Profiles to set specific permissions for configuration features, giving you better control over user access.

Inventory & Maintenance List Displays
Update Vehicles/Items
NEW FEATURE The Update Vehicles/Items feature is now available in all list displays (except Work Order). Previously available only in the Admin Back-Office, this tool updates inventory and maintenance requirements and apparatus or item modifications.
Use this feature before searching for newly assigned checks or new equipment.

List Display Quick-Access
NEW FEATURE Access open work orders directly from the list displays.

Additional List Actions
UPDATED FEATURE We consolidated the following actions to the three-dot menu to the right of the apparatus row:
Status Change: Change check status (permissions required).
Inventory Issues Found: Lists all open inventory issues from previous checks.
Maintenance Issues Found: Lists all open maintenance issues from previous checks.
New Work Order: Creates a new work order for the specific apparatus.
Change Station: Change designated station (permissions required).
Print PDF: Print a PDF report of the check.
Apparatus Details: View and/or edit apparatus details (permissions required)

Filters
Advanced Search
UPDATED FEATURE We changed the Advanced Search to Filters, making it easier to use and consistent with the other modules.

Saved and Quick Filters
NEW FEATURE We added Saved and Quick filters to the list displays allowing quick access to frequently used search queries, inventories, and check types.

Inventory, Maintenance, and Item Checks
Complete Check Summary Details
UPDATED FEATURE We added the Show Last Check Info toggle switch, allowing you to view previous check details in the Check Summary section, including the date, status, and staff member who performed the last check.

Shareable Links
You can now generate and copy unique shareable links for individual checks directly to your clipboard. This streamlines collaboration by allowing you to easily paste these links into Daily Logs or share them with team members for quick access to specific check records.

Open Work Orders
UPDATED FEATURE You can now access all open work orders for a specific apparatus directly from the Open Work Orders button in the Apparatus Details section. When you click this button, the Work Order tab opens with an automatic filter showing only the open work orders for that apparatus.

Inventory Check Updates
Inventory Display
UPDATED FEATURE We have improved the display of inventory check items, enabling quick access to locations and items.

Include Maintenance Check
NEW FEATURE We added the Include Maintenance Check feature to Inventory Checks, allowing you to perform inventory and maintenance checks in a single workflow.

When you enable Include Maintenance Check, a second row appears in the Email section below for separate maintenance email configuration.

Complete Inventory Check
NEW FEATURE We added the Full Inventory Check feature, allowing you to view all items within the inventory, regardless of the check type.

Inventory Item Search
NEW FEATURE You can now search for specific items within the inventory using the new search bar. Search results display according to their location within the inventory to help you distinguish between similar items and quickly locate what you need.

Inventory Item Filters
NEW FEATURE You can now filter your inventory to view all items, expired items, missing items, or those with a serial number.

Missing Items
NEW FEATURE Items missing from previous inventory checks are now marked with an exclamation mark to the left of the item, making them easier to locate during the current check.

Additional Item Actions
UPDATED FEATURE We've consolidated and added item actions into the three-dot menu located to the right of each item:
CONSOLIDATED Update Item in Location: Modify item locations.
CONSOLIDATED Attachments: Add attachments to the item.
CONSOLIDATED New Work Order: For items with serial numbers, create a new work order.
NEW FEATURE New Item Check: Add item to preset item checks.
